The Role

We’re looking for a detail oriented, organized, positive and fun Office Manager! We need someone to be the face of our office to greet all employees, visitors, and vendors. You will be the office go-to person and manage all office operations. You should be the type of person that takes pride in going the extra mile to improve the office environment/culture, and willing to roll up your sleeves to make those improvements! You must have excellent communication skills and be comfortable juggling multiple tasks at a time. You should definitely be a self-starter/someone who can work independently, and you need to have a humble attitude with the mindset of “no task too big or too small” to take on! You will be part of our Employee Success team and work together to make sure our office here is amazing!

Responsibilities 

  • Staff the reception desk, greet visitors and support with visitor related logistics
  • Manage various office operations and day-to-day office activities throughout the office
  • Provide general administrative support and assist with ad hoc projects
  • Uphold office standards, setup conference rooms, light cleaning and organizing
  • Assist Employee Success with the execution of various events (birthdays, anniversaries, happy hours, giving back initiatives)
  • Assist Recruiting with various interview coordination activities (hosting onsite candidates)
  • Work closely with outside vendors and various internal departments (IT, Employee Success, Marketing, etc.) to assist with administrative tasks (shipping, etc.) and various special ordering requests (business card ordering, ad hoc gifts, etc)
  • Set up conference rooms for visitors and desks for new hires 
  • Facilitate onsite catering for lunches and for special events
  • Order, organize and maintain inventory on snacks and office supplies
  • Manage budgets and expense reports
  • Participate in company events and align on global initiatives 

What does a strong candidate look like?

  • Some office admin and/or receptionist experience
  • Outstanding organizational skills and attention to detail
  • Strong Microsoft Office skills (Excel, PowerPoint, Word)
  • Strong telephone/communication and interpersonal skills
  • Positive “can do” attitude, must be flexible and accommodating
  • Self starter, independent

Nice to haves:

  • Startup/SaaS/tech experience
  • Experience with Outlook and/or Nexonia
  • Event planning and execution for 50+ people
